This article provides a detailed guide on using the Shared Credit Limit feature for company associations. The Shared Credit Limit setting enables all customers associated with a company account to share the company’s credit limit, simplifying credit management and centralizing outstanding balances for group orders.
Enabling Shared Credit Limit
To enable the shared credit limit setting for company associations, follow these steps:
- Navigate to Settings People Companies in your store’s admin panel.
- Under the Company Settings section, locate the Use Shared Credit Limit checkbox.
- Enable the checkbox for Use Shared Credit Limit to activate this feature.
- Click Save to apply the changes.
- Note: Enabling the shared credit limit applies to all orders made by customers associated with a company account. This means orders placed using payment methods linked to the credit limit will draw from the company’s credit limit balance.
- Warning: If only manager-to-employee relationships are defined (without company associations), this setting will have no effect.
Configuring Shared Credit Limit at Customer Level
After enabling the shared credit limit setting, you can configure individual customer accounts within a company to override or adhere to the store-level shared credit limit setting.
- Go to Customers Customer List and select the customer account you want to configure.
- In the Edit Customer view, locate the Credit Limit section.
- Enable the checkbox for Override Store Shared Credit Limit Setting if you want this customer account to use a custom credit limit instead of the shared company credit limit.
- Specify a unique Credit Limit amount if overriding the store setting.
- Click Save to apply the customer-specific credit limit.
- Note: If the Override Store Shared Credit Limit Setting is not selected, the customer account will follow the shared credit limit set for the company. (Even if it's $0)
- Important: If Company Associations are not configured, the shared credit limit setting will not be applicable.
Considerations and Limitations
- Company Associations Required: The shared credit limit feature only applies if the company associations structure is established. If customers are only linked through manager-to-employee relationships, this setting will not affect credit limits.
- Default Behavior: When the Use Shared Credit Limit setting is enabled at the store level and no override is applied, any purchase made by associated customer accounts will impact the company’s credit balance.
- Credit Limit Overrides: Individual company accounts can override the shared credit limit at the customer level. This is useful if specific customer accounts need distinct credit limits apart from the company limit.
- Zero Credit Limit: If the shared company credit limit is set to zero, it will still apply to associated customer accounts unless overridden.
